Archiving Japanese Experimental Music: A Practical Guide to Tapes, Files, and Uncertain Records

A cassette with an undeciphered catalogue number, a CDr with faded marker ink, or a WAV copied from an old hard drive may be the only surviving trace of a performance, collaboration, or short-lived label. In Japanese experimental music, recordings have often moved through informal channels: hand-dubbed tapes, direct mail, venue tables, private exchanges, and brief digital uploads. Scarcity is not proof of artistic value, but it does make careful documentation necessary.

Archives for noise, ambient, drone, electroacoustic work, and field recordings are not neutral storage rooms. Decisions about filenames, whether to digitize both sides of a cassette, how to describe an unidentified voice, or whether to publish a transfer all shape how the work will be heard later. A responsible archive preserves the sound without pretending that its uncertainties have been resolved.

Start with provenance, not playback

Record what an object is before attempting to clean it up, normalize it, or circulate it. Physical media often carries information that disappears in transfer: paper stock, duplicated inserts, handwritten corrections, shell type, running order, address labels, date stamps, and signs of reuse. A cassette may contain one programme on Side A and unrelated material on Side B. A CDr may hold several sessions in separate folders, while a minidisc can retain title metadata absent from an audio rip.

Photograph the item from several angles in even light. Capture the front and back of the case, every insert, spine text, labels, and enclosed notes. Assign a stable identifier that does not claim to answer open questions. An accession number such as JPX-2025-014 can then connect every scan, transfer, and catalogue note to the same object.

A practical minimum record

  • Accession ID: a unique, non-repeating identifier
  • Object type: cassette, CDr, DAT, minidisc, file directory, flyer, or another item
  • Source: donor, seller, personal collection, or unknown; keep private details restricted where necessary
  • Visible text: transcribe it exactly, including uncertain characters
  • Physical description: format, labels, inserts, condition, and markings
  • Claimed date and place: separate printed claims from independently confirmed information
  • Rights status: known permission, unclear ownership, or access restriction
  • Transfer details: equipment, settings, operator, date, and file checksums

“Unknown” is useful metadata. Replacing it with a plausible artist name or date may make a collection easier to browse, but it also makes it less reliable. Transfer audio without erasing its history

A preservation transfer and a listening copy have different jobs. The preservation master should represent the source as faithfully as practical. An access copy may be smaller, easier to play, and clearly marked as derived from that master. If the access copy becomes the only surviving file, later listeners may not know what was edited, levelled, or omitted.

For analogue cassettes, use a well-maintained deck, clean the tape path, inspect the shell for damage, and do not force a warped or sticky tape through a machine. Capture at a high-resolution, lossless setting such as 24-bit/96 kHz WAV when resources allow. Do not apply noise reduction, compression, channel summing, pitch correction, or aggressive normalization to the master. Such processing can be useful in a separate reference copy, but it may obscure hiss, dropout, uneven speed, low-level room sound, or saturation that belongs to the document.

Analogue playback is never fully transparent. Azimuth alignment, head wear, Dolby settings, and tape formulation can all affect the result. Where tonal detail or stereo phase matters, document the deck and settings, retain a flat transfer, and keep any alternate transfer only if its purpose is stated. Tape instability may be a defect, a trace of circulation, or part of the recorded event. The archive should not settle that question without saying so.

Metadata should separate evidence from interpretation

Experimental recordings often resist standard release fields. A tape may be credited to a project name, contain a live set by several people, and have no track titles. A field-recording work may be intentionally anonymous. A noise performance might be recorded at a venue, then distributed years later without a release date. Forcing such material into tidy database entries creates false certainty.

Use separate fields for what the object states, what a cataloguer infers, and what another source confirms. Transcribe a handwritten “’98?” as it appears; do not quietly convert it to 1998. If a listener identifies a venue through background announcements, record that as an attribution and include a confidence note. Retain names in the original script where available, alongside romanization variants for retrieval. Japanese names can have several valid romanizations, and a search system should not automatically treat variant spellings as different people.

Useful descriptive fields for difficult material

  • Language and script used on the object
  • Performance, recording, duplication, and circulation dates in separate fields
  • Venue or location at the broadest ethically appropriate level
  • Sound sources or methods only when documented or clearly audible
  • Track boundaries marked as “source-defined,” “archivist-created,” or “unknown”
  • Notes on interruptions, damage, leader tape, and blank passages
  • Contributor and rights-holder contact history, stored privately where appropriate

This matters for work built from duration or low-level change. A waveform that looks silent may hold distant traffic, electrical hum, tape noise, or a deliberate interval. Removing “dead air” can destroy the structure. The same care applies to field recordings: exact geographic information may need to be generalized when coordinates could expose homes, fragile environments, workplaces, or identifiable people.

Rights, consent, and restricted access

Owning a tape does not give you permission to publish it. Copyright may belong to performers, composers, recordists, photographers, label operators, or their successors; permissions around a live event can be especially complicated. A scan of an insert may also involve separate visual rights. When ownership is unclear, a private preservation transfer may be appropriate, while public streaming or downloading should wait.

It is often more useful to work with access categories than with a simple public/private split:

  1. Open access: permission exists for public listening and, where stated, downloading.
  2. On-site or supervised listening: available for research without unrestricted copying.
  3. Metadata only: the object is catalogued, but audio is not accessible.
  4. Embargoed or restricted: held securely until a date, permission, or ethical concern is resolved.

Log contact attempts without publishing personal addresses. If an artist requests that a recording be withdrawn, retain an internal record of the request and change public access promptly. The aim is not maximum availability at any cost, but long-term stewardship that does not repeat the extractive practices DIY communities often had to work around.

Storage is a continuing practice

Digitization is not preservation if files cannot be found or verified. Keep at least three copies in separate locations, with one geographically distant from the main archive. Use checksums such as SHA-256 to detect accidental changes, run fixity checks on a schedule, and record the results. A successfully copied file can still become inaccessible through drive failure, mistaken deletion, or silent corruption.

Physical originals need stable conditions as well: moderate temperature, moderate relative humidity, low light, clean storage, and upright housing where the format requires it. Avoid adhesive labels on fragile surfaces, and do not store media in basements, cars, or uninsulated attics. Do not discard a tape after transfer. Better playback technology, new documentation, or permission from an artist may later reveal more than the first transfer could.

Build catalogues that can admit gaps

Small archives often begin with a spreadsheet, a folder of transfers, and a box of media. That is enough if filenames, identifiers, and backup routines remain consistent. Problems begin when private shorthand becomes permanent public description. A filename such as “wasted_4_final2” may be a useful working clue, but it is not reliable evidence of a title, date, or attribution. Preserve the original filename as evidence, then build a neutral accession record around it.

For a newly found cassette, create one folder named after its accession ID. Place the unedited transfer, scans, checksum file, and a plain-text note inside. In that note, separate “label reads,” “donor states,” and “archivist observation.” That modest distinction gives a later researcher room to correct the record without losing the trail of how the archive first understood the object.
